At Maximum Fencing Club, our goal is to provide a high-quality experience for every fencer and family. To ensure clarity and consistency, we’ve outlined a few key policies related to private lessons, class make-ups, vacation holds, and tournament coaching. These policies help us manage scheduling, coach availability, and club operations smoothly throughout the year.

Policies apply to all members and are reviewed regularly to reflect the club’s growth and evolving needs.

1. Camps
Cancellations:
Beginner camps
24 hours before the camp starts. Refunds issued to account credit to be used for the future purchases in the club.
Competitive Intermediate camps – 10 days before the camp starts. Refunds issued to account credit to be used for the future purchases in the club.
Competitive Advanced / International campsno refunds as these camps include planned expenses for international guest fencers, travel and accommodation expenses for the students and MFC coaches.

2. Private Lessons

Eligibility:

Only for active members currently enrolled in group classes. For guest fencers by agreement with a coach or office only.

Scheduling:

Private lessons can be scheduled online through our website, the Maximum Fencing Club App, or our online system. Lessons are offered based on the coach's availability. 

Recurring reservations can be made by the coach (if requested by the student). 

Cancellations:

Consistency is important—please arrive on time and limit cancellations when possible.

Cancel at least 24 hours in advance through our online system or App.

Late cancellations or no-shows will be charged in full and are not eligible for make-ups. Exceptions may be made for medical reasons or emergencies (email to hello@maximumfencing.club).

It is your responsibility to cancel in advance—missed or forgotten cancellations will still be charged.

Payments:

Prepay a single lesson when booking, or before booking, purchase a discounted 10-Pack with autopay. 

 Private lessons are billed upon registration, or if recurring, deducted from your 10-pack based on actual lessons taken. When the 10-Pack is over, autopay runs the next day. If the lesson is cancelled on time, it returns to the Pack.
If you decide to stop taking lessons, cancel your slots AND cancel autopay through our online system or email us hello@maximumfencing.club).

Tardiness:

Please arrive 10 minutes early to warm up. If a student is late, the lesson will be shortened accordingly. Arrivals more than 10 minutes late will be considered a missed lesson and are non-refundable.

Make-Ups: No make-ups for the late cancellations or no-shows.
Refunds: Unused 10-pack lessons can be refunded by request by the end of expiration date.

3. Group Classes
Registration

After purchasing a group membership, register/book/sign in to the classes you are going to attend in the App or online system, so the coach can track attendance. Online system via a browser supports recurring reservations for your convenience. 

Group Class Make-Ups

Make-up classes are offered only for group memberships with an option only:

- Beginner 1 or 2 times/week (for example: “once a week” members can come twice a week if they missed a class).

- Intermediate 2 or 3 times/week (same).
Other memberships do not offer make-ups.

We may offer specific make-up sessions (if available) for absences due to illness—not for vacations, school events, or competitions.

Make-ups must be completed within the same or next month while the student is actively enrolled. Unused make-ups do not roll over or qualify for credit/refund.

4. Vacation & Long-Term Absences

Group Memberships are on autopay and billed monthly, and are not paused for short vacations or school breaks.

Long-term holds are considered only for: 

• Medical leave with a doctor’s note (3+ weeks)
• College applications

• Summer - skipping the whole month/months may be available.
Cancellations of group membership are available through our online system. Cancel before the 1st of the month to avoid auto payment or request via email hello@maximumfencing.club by the 25th of the month before the planned absence. No credits or refunds will be given for late notice.

‍If pausing a group program for a month or more the enrollment fee of $200 is applied to all returning students (except Beginners, Recreational Teens/Adults) when you purchase your competitive membership again.  

Members cannot request to cancel the group memberships for the month/s if during those months they attend international camps with MFC and/or competitions where MFC coaches provide strip coaching.
Promotion to the next group level is based on the coach’s recommendation and will be done by the office after informing you. Enrollment fee is waived for members who are promoted from their level to the next one.

5. Billing, Withdrawals & Refunds

All memberships and class fees are charged automatically at the start of each month.

To withdraw from a group program, cancel membership independently in the online system, or email a notice by the 25th of the current month to avoid charges for the next month. 

There are no partial refunds or prorated fees for mid-month withdrawals. Fencers may continue attending classes through the end of the paid month.

Any outstanding charges (private lessons, strip coaching, gear repair) may still be billed after withdrawal if not yet invoiced.

6. Tournament Coaching (Strip Coaching) and Travel Expenses

Coaching support at competitions is a key part of a fencer’s development. Our staff will attend designated events based on club participation (check with your coach) and will provide strip coaching to ALL MFC students. To avoid an uncomfortable atmosphere, there is no option to opt out of strip coaching at the competition when the coach supports other students.

The number and selection of coaches is determined by the club based on logistics and students’ participation.

Strip coaching fees:

Local event (no travel): $50 per event. If a student fences 2 events, please pay for both events.

Travel event in US (overnight stay): $100 per event, plus Coach’s travel expenses. Team event coaching is complementary and can be provided only if coaches are not busy with individual events.
Travel event International: should be discussed with the coach per competition, plus the Coach’s travel expenses*. If agreed, the coach will travel.

Strip coaching fees ($50 or $100 per event) should be purchased on the website Store no later than 3 days after the event, or will be billed by the office with a $20 fee.
Coach’s Travel Expenses (flight, ground transportation, hotel) will be split among students who attended. When everything is calculated after the competition, it will be posted in our online system in the Store, and students will be informed to make a payment.

7. Birthday Party or Corporate Team Building events are non-refundable but could be rescheduled with a 24 hour notice.

8. Holiday Closures

• Maximum Fencing Club follows a published holiday schedule.

• No refunds or make-ups are offered for group classes that fall on closed dates.
